What the Club collects when you apply, attend an event or use the matchmaking engine, why we hold it and what you can ask us to do with it.

1. Who we are
The Las Vegas Belgian Business Club, a Nevada nonprofit corporation in formation (“the Club”, “we”), is responsible for the personal data described in this policy. You can reach us about anything on this page at privacy@lvbbc.org.
This policy covers the Club's website, its member portal, its matchmaking engine, its referral programme and the personal data we hold about members, applicants, invited guests, event attendees and business contacts.
2. What we collect
Application and membership data: your name, company, business email, industry, the goal you describe when you apply, your membership status and the history of your dues.
Matchmaking data: the business needs and search terms you enter, the profile information you publish to other members, the introductions you request and the introductions requested with you.
Referral data: the contacts you refer to the Club, the status of each referral and the rewards attributed to you.
Event data: your registrations, attendance and, where you tell us, dietary or accessibility requirements.
Business contacts: where a member refers a business contact, or where we import a professional contact list, we hold the professional contact details of people who are not yet members. Those people remain contacts, not members, and can ask us to remove them at any time.
Technical data: the pages you visit, your approximate region, your browser and device type, and the language you choose. We store your language preference in your browser.
3. Why we use it and on what basis
To review your application and to administer your membership — because we need it to perform our agreement with you.
To run the matchmaking engine and to make introductions between members and invited guests — because it is the service you joined the Club for, and because it is in our legitimate interest to operate the Club's core activity.
To organise events, delegations and roundtables, and to tell you about them — on the basis of your membership, or of your consent where you are not a member.
To operate the referral programme and to calculate what is owed under it — to perform our agreement with the referring member.
To keep the register of members, the minutes and the accounts, and to file what Nevada law requires of us — to comply with our legal obligations.
To protect the Club, its members and its events against misuse, fraud and abuse — in our legitimate interest.
4. Who sees it
Other members see the profile information you publish to the directory, and see your details when an introduction is made with your agreement. The matchmaking engine does not disclose your search terms to other members.
Partners of an event see the attendee list for that event where the Club has told you so at registration.
Service providers act for us under contract: hosting, email delivery, payment processing and the customer relationship system in which the Club keeps its member and contact records. They may only process your data on our instructions.
Public authorities receive data where the law requires it, including the annual list of officers and directors filed with the Nevada Secretary of State.
We do not sell your personal data, and we do not share it for another organisation's advertising.
5. International transfers
The Club is established in Nevada and its systems are operated in the United States. If you are in the European Economic Area, your data is transferred to the United States.
Where we transfer personal data out of the EEA we rely on the European Commission's Standard Contractual Clauses with our service providers, together with the technical and organisational measures described in section 7.
6. How long we keep it
Membership and dues records: for the duration of your membership and for seven years after it ends, which is the period we need for our accounts and for any claim.
Application records where the application is declined: twelve months.
Matchmaking searches and introductions: three years after the introduction, so that we can evidence what was requested.
Business contacts that never become members: three years from the last meaningful contact, unless you ask us to remove them earlier.
Event records: three years after the event.
7. How we protect it
Access to member and contact records is restricted to the directors, officers and staff who need it, and is controlled by named accounts with individual credentials.
Data is encrypted in transit, and access to the administrative console is restricted to authenticated administrators.
We review who holds administrative access when a director or officer leaves office.
8. Your rights
You may ask us for a copy of the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent, you may withdraw that consent at any time.
If you are in the European Economic Area these rights come from the General Data Protection Regulation, and you may also complain to your national supervisory authority — in Belgium, the Autorité de protection des données / Gegevensbeschermingsautoriteit.
If you are a Nevada resident, NRS 603A.340 gives you the right to tell us not to sell your covered information. We do not sell it, and that instruction is honoured by default.
To exercise any of these rights, write to privacy@lvbbc.org. We answer within thirty days and may ask you to confirm your identity first.
10. Children
The Club's services are for business people. We do not knowingly collect personal data from anyone under sixteen. If you believe a child has given us data, write to us and we will delete it.
11. Changes to this policy
We update this policy when our practices change. The date at the top of this page shows when it was last changed, and we tell members by email when a change materially affects them.
